Position: Office Manager / Bookkeeper

Position Summary:

The Office Manager runs the office for our creative team of designers, developers, and system thinkers. This role consists of 30% bookkeeping (payroll reporting, accounts receivable, invoicing), 70% HR & Office Management (KPI reviews, performance reviews, weekly team meeting, purchasing office supplies, HR onboarding, planning team events, etc.).

The Bookkeeper/Office Manager position is perfect for an individual who wants to be integral in growing a small business. A successful candidate will be self-motivated, autonomous, highly organized, meticulous with details and personally invested in the success of our company.

Essential Responsibilities:
Bookkeeping
  • Monthly bookkeeping with Quickbooks DesktopPro & our CRM software
  • Prepare and Send invoices, A/Rs
  • Process deposits
  • Prepare monthly sales commission reports for CPA
  • Prepare bi-monthly payroll reports for CPA
  • Ensure accurate and timely monthly, quarterly and year-end reports are completed by CPA
  • Collaborate with CPAs to ensure all financial reporting deadlines are met
  • Develop procedure checklists
Office Administration
  • Monitor and analyze operations to develop more efficient procedures and use of resources with owners
  • Maintain various databases; data entry as needed
  • Maintain staff scheduling and event calendars
  • Order and dispense supplies
  • Lead weekly team meeting and review office KPI reports
Human Resources
  • Phone and email communications; answer staff questions; respond to concerns; receive and distribute messages to the appropriate parties
  • Field employee HR questions and requests and work with owner’s to resolve
  • Staff recruitment, interviewing and retainment
  • Prepare and conduct staff reviews
Desired Qualifications
  • 2+ years of Quickbooks/Bookkeeping experience
  • CRM/ERP management experience
  • Business process management experience

Position: Sales & Business Development Specialist

We’re seeking a highly motivated, passionate individual, looking to grow in the field of online marketing & development. You will join our Sales Department as a Sales & Business Development Specialist focused on B2B sales. This is a base salary plus commission position and growth within and to other company departments is also possible.

Essential Duties and Responsibilities
  • Lead sales development & relationship building/consultative selling process.
  • Sell established packaged service lines to regional and national markets.
  • Use CRM & Proposal Application to track and close sales.
  • Establish contacts within assigned sales territory & execute sales to reach company quotas.
  • Work with marketing assistant to optimize online presence and increase lead generation for our brands.
  • Spend the majority of your time (75% plus) on the street making face to face sales calls.
  • Develop and implement strategic digital sales plans with the marketing manager to accommodate corporate, market and product goals.
  • Lead digital sales forecasting with the Director of Sales & Marketing Manager and sets performance budgets and goals accordingly.
  • Prepare and monitor digital sales reports showing booked and projected revenues.
  • Follow through with established accountability standards developed by corporate, the DOS and MM.
  • Responsible for maximizing client revenue opportunities with on-going account list management.
  • Monitors and evaluates the activities and products of the competition.
  • Research & contribute to web development industry monthly & provide trending details to sales department.
  • Attend expos, tradeshows, etc.
  • Execute public speaking engagements on a quarterly basis.

 

Qualifications

The person filling this position must have a thorough understanding of all digital products offered, and candidates must have experience selling digital media or technology based solutions. This role will lead the local sales team in creating value and delivering results, a positive experience for consumers and overall brand. The position is also a resource for and consultant to our client base. Three years of digital and overall sales experience necessary.

Recommended Skills
  • 3+ years of sales experience.
  • 3+ years of web development & online marketing experience.
  • Experience working directly with clients, presentations and negotiation and pricing/quoting processes.
  • Comfortable talking on the phone and in a tradeshow environment.
